Executive Assistant to CEO (Part-Time)

  • £35,000 - £40,000pa DOE (pro-rata)
  • Part-time - 20-30 hours (to be discussed)
  • Flexible working hours
  • 25 days annual leave + bank holidays
  • Remote working (must be able to meet occasionally in Leeds)

Due to the nature of our roles, candidates must be a UK Resident residing within commutable distance to West Yorkshire. Please note we cannot offer visa sponsorship for overseas candidates.

Responsibilities…

  • Calendar Management: Efficiently manage and organise the executive's calendar, scheduling meetings, appointments, and personal commitments.
  • High Level Communication: Serve as the primary point of contact for the executive screening, and prioritising emails, phone calls, and other correspondence.
  • Travel Coordination: Arrange and coordinate complex travel itineraries, including flights, accommodations, transportation, and visas.
  • Document Management: Prepare, edit, and maintain reports, presentations, and documents. Keep digital and physical files organised.
  • Meeting Support: Assist in preparing meeting agendas, materials, and presentations. Attend meetings when necessary, take notes, and follow up on action items.
  • Expense Management: Manage and reconcile expense reports, ensuring accuracy and compliance with policies.
  • Project Support: Collaborate on special projects, research, and data analysis as needed. Play a critical role in meeting project deadlines.
  • Gatekeeping: Exercise discretion in handling sensitive information and prioritise requests and information flow effectively.

Qualifications & Experience…

  • 5+ years’ experience within an Executive Assistant role is essential.
  • Strong organisational, communication (written and verbal) and time management
  • Proficiency in Microsoft Office Suite and other relevant software.
  • A basic understanding of accounts is desired.
  • Excellent problem-solving and decision-making abilities.
  • High attention to detail and accuracy.
  • UK resident and unrestricted right to work in the UK – please note that we cannot offer visa sponsorship for overseas applicants.

The current EA will be available during the early stages of the appointment to ensure a smooth handover, and a manual has been created to support the transition process.

The successful candidate will play a crucial part in ensuring the smooth and efficient operation of our client's professional and personal life. Our ideal candidate should be discrete, proactive, and capable of handling a wide range of administrative tasks with exceptional attention to detail, and a sense of humour would not go amiss!
